shall be read together with the School Rules, Fee Structure,
Admission Form, Parent Policy and other applicable policies.
If any provision conflicts with a mandatory requirement of
applicable law or CBSE/State Government directions, the
mandatory requirement shall prevail.
1. Purpose
Jay Ambe International School respects the privacy and security
of personal information relating to students, parents/guardians,
staff, applicants, visitors and other users of the School’s ERP,
website and digital services. This policy explains what information
may be collected, why it is used, how it is protected, and the
choices available to users.

name, date of birth, class/section, admission details,
photographs, academic records, attendance, examination
and assessment records, achievements and school-related

examinations and student progress monitoring.

communication, events, activities and parent engagement.

Student safety, safeguarding, emergency response,
campus security and prevention/investigation of misconduct.

CBSE/State Government requirements, court or competent
authority directions.

Operation, maintenance and security of the ERP,
website and other authorised digital services.

using appropriate safeguards.
4. Children’s Personal Data
Because the School primarily serves children, student data
will be handled with heightened care. Where consent or other
legal requirements apply to processing a child’s personal
data, the School will follow the applicable legal requirements,
including requirements concerning verifiable parental/guardian
consent. The School will not knowingly use children’s data for
unlawful targeted advertising or practices prohibited by
applicable law.
5. Sharing and Disclosure
The School does not sell student or parent personal data.
Information may be shared only where reasonably necessary
for school operations or permitted/required by law, including
with authorised service providers, examination/education
authorities, government authorities, banks/payment processors,
transport or safety providers, and professional advisers,
subject to appropriate safeguards.
6. Data Security and Retention
The School takes reasonable administrative, technical and
organisational measures to protect personal information from
unauthorised access, alteration, disclosure, loss or misuse.
Access to information is limited according to role and
operational need. Records are retained only for as long as
reasonably necessary for the relevant educational,
administrative, legal, accounting, safeguarding or regulatory
purpose, subject to applicable retention requirements.

Subject to applicable law and verification of identity/authority,
a user may contact the School to request access, correction,
updating, withdrawal of consent where legally available, or
other data-related assistance. The School may need reasonable
information to verify the request and may retain information
where required by law or for legitimate school records.
10. Third-Party Services
The ERP may integrate with third-party services such as
payment gateways, messaging platforms, cloud hosting,
educational tools or transport systems. Such services may
have their own terms and privacy policies. The School will
use reasonable care in selecting authorised service providers.
11. Policy Updates
The School may revise this Privacy Policy to reflect changes
in technology, school processes, law or regulatory requirements.
The latest version will be published on the ERP/website with
the applicable effective date.
