Important: This policy is intended for use on the School ERP/website and shall be read together with the School Rules, Fee Structure, Admission Form, Parent Policy and other applicable policies. If any provision conflicts with a mandatory requirement of applicable law or CBSE/State Government directions, the mandatory requirement shall prevail.
1. Acceptance
By accessing or using Jay Ambe International School’s ERP, website, mobile application or other authorised digital services, the user agrees to these Terms & Conditions. Parents/guardians accept these terms on behalf of a student where the student is a minor.
2. Eligibility and Accounts
- ERP accounts are issued for authorised students, parents/guardians, staff or other approved users.
- Users must provide accurate information and keep login credentials confidential.
- An account must not be shared, transferred, sold or used to impersonate another person.
- The School may suspend or disable an account where required for security, misuse, disciplinary reasons, non-compliance or legal/regulatory requirements.
3. Use of ERP and Digital Services
- The ERP is provided to support academic, administrative, communication and school-management functions.
- Users must use the system lawfully and only for legitimate School-related purposes.
- Users must not attempt unauthorised access, interfere with system security, introduce malware, scrape data, reverse engineer the platform, or misuse another user’s information.
- Users must not upload content that is illegal, defamatory, discriminatory, threatening, obscene, infringing or harmful to students/staff.
4. Academic and Administrative Information
The School endeavours to keep ERP information accurate and current. However, schedules, attendance, results, fee ledgers, transport information, notices and other records may be updated or corrected from time to time. Official School records and duly authorised School communications will prevail where there is a discrepancy.
5. Fees and Payments
- Fees and charges shall be payable according to the School’s published fee structure and applicable rules.
- Online payments are subject to the terms of the applicable payment gateway/bank.
- Users should retain payment receipts/transaction references and report failed or duplicate transactions promptly.
- Refunds, adjustments and dues shall be governed by the School’s Refund Policy and applicable law.
6. Communication
The School may communicate with parents/guardians through ERP notifications, SMS, email, telephone, notices, authorised messaging channels or other official methods. Users are responsible for keeping registered mobile numbers, email addresses and other contact details updated.
7. Intellectual Property
School logos, trademarks, photographs, videos, text, lesson materials, forms, notices, software content and other School-created materials are protected by applicable intellectual property laws. They may not be copied, republished, commercially exploited or modified without written permission, except where permitted by law.
8. Student Safety and Responsible Digital Conduct
The School expects parents, students and staff to maintain respectful digital conduct. Cyberbullying, harassment, unauthorised recording/sharing of student information, impersonation, threats or misuse of School digital platforms may lead to restriction of access and/or disciplinary or legal action.
9. Third-Party Links and Services
The ERP/website may contain links or integrations to third-party websites or services. The School does not control all third-party content, availability, security or policies. Users should review the applicable third-party terms before using such services.
10. Availability and Maintenance
The School and its authorised technology providers will make reasonable efforts to keep digital services available, but uninterrupted availability cannot be guaranteed. Services may be temporarily unavailable due to maintenance, upgrades, connectivity failures, security incidents or circumstances beyond the School’s reasonable control.
11. Privacy
Use of the ERP and digital services is also subject to the School’s Privacy Policy, which forms part of these Terms & Conditions.
12. Policy Changes
The School may update these Terms & Conditions from time to time. Continued use of the ERP after publication of an updated version constitutes acceptance to the extent permitted by applicable law.
13. Grievance and Governing Framework
Users may raise ERP-related grievances with the School through the official contact channels. These Terms & Conditions shall be interpreted subject to the laws and mandatory educational regulations applicable to the School in Gujarat and India. Nothing in these terms limits any non-waivable right available to a student, parent or other user under applicable law.
