Important: This policy is intended for use on the School ERP/website and shall be read together with the School Rules, Fee Structure, Admission Form, Parent Policy and other applicable policies. If any provision conflicts with a mandatory requirement of applicable law or CBSE/State Government directions, the mandatory requirement shall prevail.
1. Purpose
This Refund Policy sets out the general process for handling requests relating to fees and other payments made to Jay Ambe International School. The policy is subject to the applicable Gujarat Government requirements, CBSE affiliation requirements and other applicable laws/directions.
2. Core Principle
The School will not apply a blanket 'no refund in all circumstances' rule where such a rule would conflict with applicable law or binding directions. In particular, for a student who discontinues studies or migrates to another school, fee dues shall be handled in accordance with the applicable government/CBSE requirements, including the CBSE principle that, where not otherwise provided by the Appropriate Government, dues are collected only up to the month of discontinuance or migration.
3. Admission / Registration Payments
- Registration or application charges, where applicable, will be handled according to the published fee structure and applicable law.
- Admission-related amounts will be non-refundable, non-adjustable & non-transferable in any circumstances as per School’s published fee terms.
- If an admission is cancelled because a mandatory eligibility/document requirement is not fulfilled, the School may adjust lawful administrative dues before processing any eligible refund.
4. Tuition and School Fees After Discontinuation
A parent/guardian requesting withdrawal must submit the prescribed withdrawal/TC request to the School. Tuition, Examination, ERP & Activities fee will be non-refundable, non-adjustable & non-transferable in any circumstances as per School’s published fee terms. The School will determine the final payable amount up to the applicable month of discontinuance/ migration and adjust any outstanding lawful dues.
5. Annual / Other Heads of Fee
Annual charges, development-related charges, examination fees, activity charges and other heads will be treated according to the published fee structure which is non-refundable, non-adjustable, non-transferable and the applicable State/CBSE rules. Where a particular amount is expressly regulated as refundable/non-refundable by applicable law, that requirement will prevail.
6. Books, Uniforms and Physical Items
Refunds or exchanges for books, uniforms, ID cards or other physical items will depend on whether the item has been issued/used and its condition, and will be governed by the applicable supplier or School process. Defective items may be considered for replacement subject to verification.
7. Security Deposit / Caution Money (if any)
Where a refundable security deposit/caution money has been collected, it will ordinarily be refunded after the student’s withdrawal/exit formalities are completed, subject to adjustment of lawful outstanding dues, damage/loss charges properly established under School rules, or other amounts legally recoverable.
8. Duplicate / Failed / Excess Online Payments
- Duplicate or excess payments will be verified against the ERP ledger and bank/payment-gateway records.
- Where a payment was successfully received more than once for the same liability, the verified excess amount may be refunded or adjusted against future dues, as permitted by the School and requested by the payer.
- A payment showing as failed in the ERP but debited by the bank should first be allowed the applicable bank/payment-gateway reconciliation period before final refund action.
9. Deductions / Penalty
Before leaving school & issue SLC, the School will be verified outstanding fees, library/lab/school property dues, or other amounts lawfully recoverable under the applicable School rules and regulations.
10. No Waiver of Legal Rights
Nothing in this policy is intended to waive or restrict any statutory right or remedy available to a student or parent/guardian. Where an applicable state government, CBSE, court or competent authority direction differs from this policy, the binding direction shall prevail.
11. Policy Review
The School may revise this policy when fee regulations, CBSE requirements, ERP processes or other applicable rules change. The latest version will be published through the School’s authorised channels.
